Privacy Policy

This policy applies to the Vertex Pro mobile application (Android package com.yubixgroup.vertexpro) and to the Vertex Pro web platform, operated by Yubix Limited.

1. Information We Collect

Personal Information

We collect information you provide directly to us, such as when you create an account, contact us, or use our services. This may include:

• Name, email address, and contact information
• Company information and job title
• Account credentials and authentication data
• Communications and support requests

Technical Information

We automatically collect certain technical information when you use our platform:

• IP address, browser type, and device information
• Usage patterns and feature interactions
• Performance and error logs
• Security event data and access logs

Location Information

Vertex Pro collects precise location (GPS) and approximate (network-based) location from your device. We collect location data in the following circumstances:

• While you are actively using the app — to display your position on the situational-awareness map, to show nearby incidents and assets, and to attach an accurate location to any signal, incident, or emergency report you create.
• While an alert is active, including when the app is in the background or closed — when you raise a panic alert or emergency, or when your organization activates an alert that includes you, Vertex Pro streams continuous location updates to your organization's control-room operators so they can locate you, coordinate responders, and manage the incident in real time.

Background location collection begins only when an alert or incident session is active and stops automatically when that session ends. You can revoke location permission at any time in your device settings; some safety features will not function without it.

Camera and Microphone Data

• Live streaming during an emergency: when a panic alert or emergency session is active, Vertex Pro may transmit live video from your device camera and live audio from your device microphone to your organization's authorized control-room operators, so that they can assess the situation and respond. This streaming takes place only during an active session and stops when the session ends.
• Evidence capture: you may choose to record or capture photos and video to attach to a signal, incident, or emergency report.

Photos, Media, and Files

You may select existing photos or videos from your device to attach as evidence to a report, or to set your profile picture. We access only the specific files you choose.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve our security platform
• Process transactions and send related information
• Send technical notices, updates, and support messages
• Respond to your comments, questions, and customer service requests
• Monitor and analyze trends, usage, and activities
• Detect, investigate, and prevent fraudulent activities
• Comply with legal obligations and enforce our terms
• Determine and display your location so that control-room operators can locate you and dispatch assistance during an alert, emergency, or incident
• Attach accurate location, time, and media to incidents and reports you submit
• Deliver location-relevant alerts, warnings, and safety notifications from your organization
• Transmit live video and audio to authorized control-room operators during an active emergency session so they can assess and respond to the situation
• Maintain an accurate record of incidents for post-incident review, reporting, and compliance purposes

3. Information Sharing and Disclosure

We do not sell, trade, or otherwise transfer your personal information to third parties except in the following circumstances:

• Your Organization: Vertex Pro is an enterprise platform. Your location, live camera and microphone streams, incident reports, and attached media are shared with the authorized control-room operators, administrators, and responders of the organization that provisioned your account, for the purpose of emergency response and operational safety management.
• Service Providers: We may share information with trusted third-party service providers
• Legal Requirements: When required by law or to protect our rights and safety
• Business Transfers: In connection with mergers, acquisitions, or asset sales
• Consent: When you have given explicit consent for sharing

4. Location Data

What we collect. Precise location (GPS) and approximate (network-based) location.

When we collect it.

• In the foreground, while you have the app open and are using the map, incident, or reporting features.
• In the background, and while the app is closed or not in use, only while a panic alert, emergency, or incident session in which you are a participant is active.

Why we collect it. To share your position with your organization's control-room operators during an emergency so they can locate you and dispatch help; to attach an accurate position to incidents and reports; and to deliver location-relevant safety alerts.

Who we share it with. The authorized control-room operators, administrators, and responders of the organization that issued your Vertex Pro account, and the infrastructure providers that host the platform on our behalf. We do not sell location data, and we do not use it for advertising or profiling.

How long we keep it. Location points captured as part of an incident are retained with that incident record for as long as your organization's retention configuration requires. Live location streamed during an active session and not attached to an incident is not retained after the session ends.

Your control. You can grant or revoke location permission at any time in your device settings, and you can choose “While using the app” instead of “Allow all the time.” Emergency features that depend on background location will not operate if permission is revoked or limited.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information:

• Encryption of data in transit and at rest
• Multi-factor authentication and access controls
• Regular security assessments and monitoring
• Employee training on data protection practices
• Incident response and breach notification procedures

6. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information:

Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place to protect your information in accordance with applicable data protection laws.
